We cater to a wide range of activities, meetings, events, and social services, ensuring that all members of our community have access to the resources they need to thrive. 



About the role:


We are looking for a part time Booking Coordinator to work 20 hours a week (Thursdays and Fridays 9am - 5pm and one half day with flexible hours). 


Key Tasks: 

  • Front Desk Reception: Greet visitors, handle inquiries, and provide assistance.
  • Room Management: Set up and dismantle rooms for bookings. 
  • Invoicing: Prepare and manage invoices for bookings. 
  • Social Media and Marketing: Maintain and update social media platforms and our website to promote events and services. 
  • Supply Management: Order and manage inventory for stationery, cleaning products, and kitchen supplies. 
  • Facility Maintenance: Coordinate with contractors for minor repairs as needed.
  • Events Coordination: Serve as the primary contact for event planning and management.
  • Tenant Support: Address enquiries and concerns related to hub facilities, rooms, and bookings. 
  • Financial Management: Follow up on overdue invoices and review room pricing periodically. 
  • Art Installations: Collaborate with Wanaka Art Society for new art displays.

Key Skills & Attributes: 

  • Strong organisational abilities to manage multiple tasks efficiently. 
  • Proven customer service experience with a welcoming demeanour.
  • Proficiency in Microsoft Office and Google Suite. 
  • Familiarity with our booking system Skedda (not essential as training is provided)
  • Experience in social media marketing and basic website management.
  • Familiarity with Xero or similar software for invoicing purposes (training provided)
  • Ability to take initiative and work independently. 
  • Excellent communication skills to interact effectively with diverse individuals.
  • Capacity to thrive in a fast-paced environment and manage stress effectively.
